Manual orders
For sellers without Shopify, with off-platform orders, or with a custom DTC site we do not have a native connector for, manual order creation is the path. Same pick, pack, dispatch, and COD reconciliation as a Shopify order; the only difference is how the order entered our system. 12+ years of UAE logistics tells us most sellers eventually have at least one off-platform channel; it should not feel like a second-class lane.
When to use manual orders
Section titled “When to use manual orders”- No Shopify or other native integration. You sell on a platform we do not yet have a one-click connector for.
- Custom DTC site. Your storefront is bespoke and you have no developer to build an API integration today.
- B2B orders. Wholesale or retailer orders where the buyer is not a consumer and the order shape differs from your retail catalogue.
- Marketplace orders we do not yet natively integrate. Drop the order in by hand or by CSV; we fulfil identically.
- One-off operational orders. Sample shipments to influencers, replacement orders, internal transfers between addresses.
How to create a manual order
Section titled “How to create a manual order”- Open your SamVertex account. Sign in with the email and credentials your account manager provisioned.
- Click New order. The order entry form opens.
- Fill in customer details. Name, phone, full UAE address, Emirate. Phone is required so the driver can WhatsApp on arrival.
- Add items from your SKU list. Pick the SKUs from your catalogue, set quantities. The form blocks SKUs that are not on stock.
- Set delivery instructions and the COD flag. If COD, enter the AED amount to collect. If prepaid, leave the COD field blank.
- Submit. Order lands in our pick queue immediately, same as a Shopify order.
The first time you create a manual order your account manager will walk you through it on a 10-minute call. After that the form takes about 30 seconds per order.
Bulk upload
Section titled “Bulk upload”For batches larger than five or six orders, CSV upload is the right path. Download the template from your SamVertex account (the bulk-order page links it), fill in one row per order with the columns matching the template (order reference, customer name, phone, address, Emirate, item SKU, quantity, COD amount), then upload back. We validate every row before queueing; rows with errors flag for review and the rest queue immediately.
Common bulk-upload use cases: a B2B drop with 30 retailers receiving samples on the same day, an end-of-month wholesale dispatch run, a launch where pre-orders captured outside Shopify all need to ship together.
What happens after creation
Section titled “What happens after creation”Manual orders move through the same pipeline as native-integration orders. No special handling, no separate queue.
- Picked. From your stock at our Ras Al Khor warehouse.
- Packed. To your packaging spec (branded mailer, branded box, or our white outer if you do not stock branded packaging with us).
- Dispatched. Onto our fleet for last-mile delivery across all seven Emirates.
- Delivered with photo and signature proof. Captured on every drop, attached to the order in your account.
- COD reconciliation if applicable. Same daily reconciliation cycle as Shopify orders, same payout schedule. See COD reconciliation.

What you control
Section titled “What you control”- Order reference. Use your own reference (invoice number, internal order ID) so it ties cleanly back to your accounting.
- Packaging choice. Per order, if you have multiple packaging options stocked with us.
- COD versus prepaid. Per order. COD orders enter the same daily ledger as Shopify COD.
- Delivery instructions. Free-text field passed to the driver for special instructions (gate code, building name, leave with concierge).
Common questions
Section titled “Common questions”- Can I cancel a manual order before dispatch? Yes. Cancel from your SamVertex account; if the parcel is already on a driver, contact your account manager.
- What if I make a typo on the address? Edit the order before dispatch; once on a driver, contact your account manager and we will reach the buyer.
- Can I bulk-upload across multiple Emirates in one CSV? Yes. The Emirate column drives routing; one CSV can mix all seven.
- Do I get the same tracking page for the buyer? Yes. Manual orders generate the same buyer-facing tracking page as Shopify orders.
